What's a sponsorship program?

A sponsorship program lets your organization offer sponsor packages, collect payment, and display approved sponsor logos on your Playpass website.

Use a sponsorship program when a sponsor is paying for visibility or recognition, such as:

  • a homepage sponsor section
  • a website footer logo
  • a Sponsored By section near schedules, activities, memberships, booking pages, or storefronts
  • an offline or custom benefit, such as a field banner, court sign, jersey logo, or event mention

For simple donations or merchandise-style purchases that do not need sponsor logos, approval, or automatic placement, use a storefront instead.

Create a sponsorship program

Create your program from Dashboard > Products > Sponsorship program.

The new program form starts simple. Enter:

  • Name - the public title, such as Your Sports Club Sponsors
  • Price - the first package price
  • Package label - the first package name, such as Community Sponsor

After saving, open the program's Packages section to add or edit more sponsor packages.

Add sponsor packages

Packages are the options sponsors choose from on your sponsorship page. For each package you can set:

  • Name - the package label shown to sponsors
  • Description - short details shown under the package name
  • Price - enter 0 or leave blank for a free sponsorship package
  • Term - leave blank for an ongoing sponsorship with no end date, or enter a number of days
  • Maximum sponsors - leave blank for unlimited sponsors, or cap the number available
  • Visible during sponsorship checkout - turn this off to hide a package without deleting it

Paid packages require your organization to be connected with Stripe. Free packages can be used for comped, trade, or offline arrangements.

Placements

Placements control where sponsor logos can appear after the sponsor is paid, has uploaded a logo, and is approved by a manager.

Package placement options are:

  • Homepage section - show approved sponsor logos on your homepage
  • Website footer - show approved sponsor logos in the website footer
  • Sponsored By section - show approved sponsor logos near related public item pages
  • Custom placement - describe an offline or special sponsor benefit

Package placements are defaults for new sponsorships. After a sponsorship exists, managers can edit that sponsorship's actual placements from the sponsorship detail page. Editing a package does not automatically change existing sponsorships.

Publish and share

Publish the sponsorship program when you are ready for sponsors to view it.

Your public sponsorship page is at:

https://playpass.com/your-org/sponsor

The page lists the available packages. Sponsors choose a package, then continue to checkout. Managers can preview the checkout flow while the program is still in draft.

How sponsor checkout works

Sponsor checkout is focused on choosing the package and completing payment.

After the sponsorship is created, the sponsor can provide sponsor details, including:

  • sponsor name
  • logo
  • website or link target
  • public description

For logos, upload a PNG, JPG, WebP, or GIF. A wide logo around 600 x 240 pixels or larger usually works best.

The logo link can point to:

  • the sponsor detail page on Playpass
  • the sponsor's website
  • another public Playpass item, such as a sponsor page you created

Review and approve sponsors

Sponsors do not appear publicly until a manager approves them for display.

From Dashboard > Products > Sponsorships, open a sponsorship to:

  • review the sponsor name, logo, link, and description
  • approve or remove display approval
  • edit the sponsor's placements
  • cancel or reinstate the sponsorship
  • refund eligible payments

If a sponsor changes public display details after approval, such as the logo, website, or public description, the sponsorship needs manager approval again before it displays publicly.

Record offline or manager-created sponsors

Managers can record a sponsor from Dashboard > Products > Sponsorships after at least one package exists.

Use this for:

  • check, cash, invoice, or comped sponsorships
  • sponsor trades or zero-price packages
  • sponsors who paid outside the public checkout flow

The sponsor still gets a Playpass receipt, and the sponsorship appears in the same dashboard list as online purchases.

Sponsors can find active and historical sponsorship receipts from My Stuff, just like registrations, membership subscriptions, bookings, storefront orders, and waivers.

Where approved sponsors appear

Approved sponsorships with logos display automatically based on their placements:

  • homepage sponsor section
  • website footer
  • Sponsored By sections on public item pages

The website footer link uses your sponsorship program name, so players see a meaningful link such as Your Sports Club Sponsors instead of a generic label.

Drafting or pausing the sponsorship program stops new public purchases, but existing approved sponsors still display. Cancel a sponsorship, remove its approval, remove its logo, archive the program, or unpublish the organizer website when a sponsor should no longer appear.

FAQ

Can a sponsorship be free?

Yes. Set the package price to 0 or record a manager-created sponsorship with $0 paid.

Can a package be ongoing?

Yes. Leave Term blank for an ongoing sponsorship with no end date.

Do package changes update existing sponsors?

No. Packages are the defaults for new sponsorships. Existing sponsorships keep their purchase and placement snapshot unless a manager edits that sponsorship directly.

Should I use a storefront instead?

Use a storefront for simple donations, merchandise, or sponsor-style products that do not need logo uploads, approval, or automatic website placements.

Use a sponsorship program when the sponsor is buying recognition and you want Playpass to manage the package, receipt, logo, approval, and display placements.
